But when the day comes, only 65 people actually show up.

If your event isn't on their calendar, it doesn't exist.

Why Standard Invites Fail

Many marketers rely on the automated .ics file attachment sent by their webinar platform (like Zoom or Demio). Here is why that fails:

  1. Friction: The user has to open the email, download the file, open the file, and then save it to their calendar application.
  2. Mobile Issues: Downloading and opening an .ics file on a mobile device is often a clunky experience that users simply abandon.
  3. Spam Filters: Emails with generic file attachments are more likely to be flagged by aggressive corporate spam filters.

Instead of forcing the user to download a file, you should provide direct, clickable links for their specific calendar provider (Google Calendar, Outlook, Apple, Yahoo).

When a user clicks a Google Calendar link, for example, it instantly opens their calendar in a new tab with all the event details (time, description, Zoom link) pre-filled. All they have to do is click "Save."

By removing the friction, marketers routinely see attendance rates jump from the standard 15% to 40%, 60%, or even 80% for highly targeted lists.

For maximum effectiveness, you should place your Add-to-Calendar links in two critical locations:

1. The "Thank You" Page

The moment the user hits "Submit" on your registration form, the confirmation page should immediately prompt them to add the event to their calendar. They are at peak interest right now—capture the calendar slot immediately.

2. The Confirmation Email

Don't bury the links at the bottom of the email. Place bold, obvious buttons near the top of the registration confirmation email:

  • [ Add to Google Calendar ]
  • [ Add to Outlook ]
  • [ Add to Apple Calendar ]
